Always on.

The Employees list is the admin side of your people data. Everyone can see colleagues' public profiles in the directory. The full employee record, and the ability to change it, is limited to people who manage the workforce.

How it works

  • Adding people. Invite someone by email so they can sign in, or add a record without a login. Owners and admins can also bulk-import a CSV.
  • The record. Location, department, manager, job title, hire date, probation end and working hours per day, plus the person's access role, history, time off and leave requests.
  • Manager. The manager you set is the person's default approver and places them in the org chart.
  • Time off. Entitlements come from the policy for the person's location. For a leave type with a fixed allowance, you can set a personal entitlement that replaces the policy amount until you clear it, or correct one year's remaining balance.
  • History. Promotions and role changes are recorded as dated entries. Rehires add a new employment period, so the full timeline stays on one record.

Leaving and rehire

Offboarding. Schedule a last day (today or later). Until then the person is offboarding and keeps access. You can move or cancel the date, and the record shows their final balances for payroll.

Archival. The night after the last day, the record is archived automatically: remaining balances are closed out to zero, the person loses access, and their direct reports are left without a manager until you assign one.

Rehire. Rehire an archived person on the same record with a new start date. They get a fresh employment period and entitlements, and you can re-invite them by email.

Good to know

  • Free allows 5 employees, counting active and offboarding people only (see Billing).
  • Only owners and admins can change someone's access role or permanently remove a record. Removing a record also deletes its leave history, so use offboarding for people who leave.
