Always on.

Everyone who requests or approves leave needs an employee record in your workspace. You can invite people so they sign in themselves, or add records for people who never need to log in.

How it works

  • Invite by email. You enter the person's name, work email, role, location and start date, plus an optional department, manager and job title. They get an email with a single-use link, create an account with that address (or sign in if they already have one) and join your workspace. Invitations expire after 14 days.
  • Add without an invite. You can create an employee record with no login, for example someone who doesn't need to request leave themselves. You can send them an invitation later from their record.
  • Import a list. Owners and Admins can add many people at once by pasting one line per person: name, start date, location, and optionally department and job title. The import is all or nothing: if any row fails, nobody is added. Imported people have no login until you invite them.
  • Track invitations. The Invitations page lists pending and accepted invitations. You can resend or cancel a pending one.
  • Who can grant which role. Owners and Admins can invite people as Admin, HR or Employee. HR can invite HR and Employee, but not Admin. Nobody can be invited as Owner.

Good to know

  • On the Free plan, a workspace can have up to 5 members. Invitations, records added without an invite, imports and rehires all count toward it, and an import that would go over the limit is refused as a whole. People with a future start date aren't counted until they start.
  • Inviting an email that already has a pending invitation reuses that invitation instead of sending a second one.
