Always on. Add a policy for each leave type and location.

A leave policy ties a leave type to a location and says how much of it people there get each leave year. A location has at most one active policy per leave type.

How it works

  • Scope. One leave type at one location. Choosing all locations creates a copy for each location that doesn't have one for that type yet.
  • Annual quota. The yearly allowance. Leave it blank for no fixed allowance.
  • Leave year. Entitlements follow the leave year of the employee's location, which starts in the month set on that location. When a leave year starts, a nightly job opens everyone's entitlement and credits the full quota, unless the policy accrues it over the year.
  • Joiners. With pro-rating on (the default), someone hired mid-year gets a share of the quota in proportion to the days left in the year.
  • Approval. Requests follow the policy's approval chain, or go to the employee's manager if the policy has none.
  • Negative limit. For types that allow negative balances, how far below zero people can go. Leave it blank for no limit.
  • Accruals and carryover are also set on the policy.

You can also generate entitlements by hand for the current or next leave year, with a preview first. The policies page warns you when the current leave year, or one starting within 60 days, has missing entitlements.

Good to know

  • Employees without a location get no entitlements, because every policy belongs to a location.
  • An override on an employee's record replaces the policy's quota for that person, every year.
  • Policies are archived, not deleted. An archived policy stops granting, accruing and carrying over, but stays as a record. When archiving, you can also remove people's unused leave for the current year; restoring the policy doesn't give it back.
