Team calendar

See coverage before you approve

One month, one timeline: department lanes, a holidays-and-blackouts lane and a coverage row that counts who's out each day. Plus a feed that puts your team's approved time off in Google Calendar, Outlook or Apple Calendar.

The timeline

People are grouped by department, each section headed with “12 people · 3 out today”. Approved absences draw as bars in the leave type's colour, labelled when they span three days or more. Weekends are tinted, today is marked, and a legend lists every leave type present that month.

The top lane carries public holidays as country flags — with a “+2” when several locations share a date — and blackouts as dashed bars that show their scope on hover. Filter by department to focus on one team.

Coverage at a glance

The bottom row counts people out per day and heat-shades it against the month's busiest day, so a thin week stands out before another request is approved on top of it.

The dashboard's four numbers

The dashboard is deliberately small. Employees counts active people and how many were hired this quarter. Pending approvals shows what's waiting on you, how old the oldest is and how many arrived this week. Out today counts approved leave covering today, as a share of the active organization, with the day each person is back. Off next 14 days counts distinct people, plus overlap days — days when two or more people from one department are out.

How the dashboard counts
Out today
Approved leave covering today, one per person
% of org
Out today ÷ active employees
Off next 14 days
Distinct people with approved leave in the window
Overlap days
Days with ≥ 2 people out from the same department
+N this quarter
Hire dates inside the current calendar quarter

Time off in the calendar you already use

My time off shows each person their own requests and their own location's holidays, with balances by policy alongside — the same numbers their manager sees.

From there, Subscribe to calendar creates a private link to your team's approved leave — you, your department and your direct reports — for Google Calendar, Outlook or Apple Calendar. Your own absences show their leave type; everyone else's read “Out of office”, with no type or note, as all-day events that don't block your availability.

Calendar apps are asked to check hourly, so approvals and cancellations follow on their own; Google refreshes on its own schedule and can take up to a day. Regenerate the link and the old one stops working; turn it off and the events disappear.

  • One click for Google Calendar; Outlook and Apple Calendar subscribe with the link
  • Colleagues show as “Out of office” — the leave type stays yours
  • Approved leave only, from 90 days back to a year ahead
  • Link shown once, stored hashed, revocable any time

FAQ

Team calendar, answered

Does the calendar show pending requests?

No — only approved absences reach the calendar and the coverage counts, and only current people: someone whose last day has passed drops off. Pending requests live in the approver's queue until decided.

Can I filter the calendar by department?

Yes. Pick one or more departments; the lanes, the holidays-and-blackouts lane and the coverage row all follow the filter.

Can I see team time off in Google Calendar or Outlook?

Yes. Every member can create a calendar link from My time off and subscribe to it in Google Calendar, Outlook or Apple Calendar. It carries approved leave for you, your department and your direct reports; other people's absences show as “Out of office”.
